Registration desk
The registration table wll be situated in the vicinity of the hotel front desk. It will be manned on Monday 28 May from 14:00 to 18:30. We will also try to be there as much as possible after dinner. On Tuesday 29 May registration will be possible at the entrance of the Tammsaare lecture hall from 08:00 to 09:00. Participants arriving later can also register there during coffee breaks.

A registration fee of EUR 80,- is charged in addition to the accommodation and meals costs covered by the conference packages. It has to be paid in cash upon arrival. Also accompanying persons need to pay the registration fee if they want to take part in the excursion and the Medieval Dinner on Friday.

Participation
The meeting is also open to participants outside the working group, who are cordially invited to participate.Conference organisers, however, reserve the right to refuse registration to such participants.

Conference packages & registration fees
We offer a conference package (see price list below) for accommodation and meals. This package includes:
  • accommodation in single and double room according to selection for the nights from 28 May to 2 June
  • buffet breakfast
  • all lunches, coffee rooms and dinners (apart from the dinners on 31 May and 1 June , which are covered by the registration fee)
  • free Wifi in the hotel
  • conference material

The following conference package fees apply:

If you order a non-refundable conference package, there will be no refund in case you cancel the participation. Also in the case of refundable booking, some cancellation fees might be charged when you cancel very late. We therefore recommend to book a travel insurance to guard you against unforeseen complications.

Payment of the conference package is due at check-out. Major credit cards are accepted. No advance payment or deposit is required.

Registraton fees apply in addition to the accommodation and meals costs covered by the conference packages. They have to be paid in cash upon arrival. The registration fees are as follows:

Also accompanying persons need to pay the registration fee if they want to take part in the excursion and the Medieval dinner. These registration fee covers:

  • excursion to Tallinn Open Air Museum on 31 May 2012
  • entrance fee to the museum and guided tour
  • traditional Estonian dinner at the museum
  • guided evening walk through the medieval city centre of Tallinn on 1 June 2012
  • Medieval Banquest at "Oude Hansa" restaurant on 1 June 2012

Thus, with the registration fee and the payment for the conference banquet all meals, accommodation and excursions are covered. Unfortunatelty, due to administrative reasons we are forced to separate these two fees.

Registration procedures
To register for the meeting, please do the following:

1. Fill in the registration form (to be downloaded here).

2. Send the completed registration forms per e-mail attachment to wgeppert@hotmail.com AND TO reservations@meritonhotels.com mentioning the reservation code "UNIVER2805" in the message title. This constitutes the reservation and you should obtain a confirmation of the venue in due course.

3. Pay the conference fee (EUR 80,-) upon arrival.

4. Payment of the conference package is due at check-out.

The deadline for registration and accommodation booking is 15 April 2012. Thereafter neither accommodation nor the quoted conference package prices can be guaranteed.

PLEASE NOTE: Sending in the registration form implies a hotel booking. Thus, in the case of cancellation after 15 April, cancellation fees might apply.

Payment
Payment of the registration fee (EUR 80,-) is due upon arrival. The conference package (meals and accommodation) has to be paid at the check-out. Common credit cards are accepted. It might be a good idea to settle the payment on the day before departure. No advance payment before the arrival at conference is necessary.

Support for COST Working Group 1 members
For members of the Working Group 1 of the COST Action "The Chemical Cosmos: Understanding Chemistry in Astronomical Environments" there will be a flat refund of EUR 250,- for travel, conference package and registration fee. This has to be claimed from the Open University (administring our COST grant) using the official forms. For the registered WG members the claim forms have been sent out by the Open University..
