To the speakers

The success of this collaboration meeting depends to the largest extent on you and your talk. Here are some helpful reminders and guidelines.

If your talk is not available in an electronic format, i.e. ppt or pdf, please bring a xerox copy of your talk to the meeting, or if necessary, make a copy at the meeting, but before your talk. This copy can contain more pages than you will have time to show during your talk.

Your allotted time includes discussion. Agree with the session chairman before the start of your talk how much time you will use fore your talk and how much for discussion. In general, we suggest that a talk longer than 15 minutes have a 5-7 minute discussion time. Shorter talks should have a 3-5 minute discussion period.

The number of transparencies you show should be less than the number of minutes you plan to talk. Avoid having more than two figures on a single transparency, especially if you plan to say something about each figure. A single, large graph with some accompanying text in a large font is invariably more effective than a Powerpoint extravaganza with four graphs, two photos and animations or a PAW figure with 16 plots.

The session chairperson will flash a card showing you how much speaking time you have left, starting with 10 minutes. Please acknowledge that you've seen the card. (Limiting the number of transparencies you plan to show, and being aware of how much time you have left during your talk are the two most important factors in staying on time.) If you see you are running overtime because you misjudged how much time it would take, don't worry, just skip some of the remaining transparencies, and if necessary jump ahead to the last transparency in order to end on time. (Remember, the audience may not even notice that you did this.) This is much better than forfeiting your discussion time.

If you get a question during the discussion that would take your whole discussion time to answer, just give a partial answer and ask that you be contacted during the coffee break or lunch for a more complete answer.

Thanks for patiently reading through this (you knew it all already) and, most of all, thanks for preparing and giving your talk.
